This Privacy Policy explains how AI Squads LLC ("AI Squads", "we", "us", or "our") collects, uses, and protects information in connection with our AI-powered WhatsApp automation service (the "Service"). By using the Service, you agree to the practices described below.

2. Information we collect

We collect the following categories of information to operate the Service:

• Client account information. When a business engages AI Squads, we collect contact details such as company name, contact name, email address, phone number, and billing information.
• WhatsApp conversation data. The Service processes messages sent to and from our clients' WhatsApp Business numbers, including message text, voice notes, images, and other media exchanged between our clients and their end users.
• End-user contact identifiers. To deliver and route conversations, we process end users' WhatsApp identifiers (typically a phone number), display names, and conversation metadata such as timestamps.
• Service configuration data. Prompts, scripts, and configuration files used to operate each client's AI agent.
• Technical and log data. System logs, error reports, and usage metrics needed to operate, secure, and improve the Service.

3. How we use information

We use the information described above to:

• Provide, operate, and maintain the AI WhatsApp automation Service;
• Generate, deliver, and log automated replies to end-user messages;
• Transcribe voice notes and generate voice responses where the Service is configured to do so;
• Communicate with our clients about their account, billing, and the Service;
• Diagnose problems, prevent abuse, and improve the reliability and quality of the Service; and
• Comply with our legal obligations and enforce our Terms of Service.

4. Processing on behalf of clients

When AI Squads processes end-user messages sent to a business client's WhatsApp number, we act as a data processor on behalf of that business, who is the data controller. The business is responsible for obtaining any consents required from its end users and for complying with applicable privacy laws regarding those end users.

End users who wish to exercise rights regarding their personal data should contact the business they messaged. AI Squads will support that business in responding to such requests.

5. Third-party services

The Service relies on the following categories of third-party providers, which process information on our behalf:

• WhatsApp / Meta Platforms, Inc. — to send and receive messages through the WhatsApp Business API.
• Business Solution Providers (BSPs) — to provide the underlying WhatsApp Cloud API connectivity.
• AI model providers — to generate text and voice responses (for example, large language model providers and text-to-speech providers).
• Cloud hosting and infrastructure providers — to host the Service and store operational data.
• Payment processors — to handle billing and collect fees from our clients.

Each of these providers has its own privacy practices. We only share the minimum information needed for each provider to perform its function.

6. Data retention

We retain information for as long as it is needed to provide the Service to our clients, to comply with our legal obligations, to resolve disputes, and to enforce our agreements. Conversation data is typically retained for the duration of the client relationship. When a client terminates the Service, we delete or anonymize their data within a reasonable period, except where we are required to retain it by law.

7. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect information against loss, misuse, and unauthorized access. No method of transmission or storage over the internet is fully secure, so we cannot guarantee absolute security.

8. International data transfers

AI Squads operates from the United States and works with clients and providers across Latin America and globally. By using the Service, you acknowledge that information may be transferred to, stored in, and processed in the United States or other countries where we or our service providers operate.

9. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict the processing of your personal information, or to object to its processing. To exercise these rights, contact us at alex@aisquads.ai. If you are an end user of one of our business clients, please direct your request to that business; we will assist them in responding.

10. Children

The Service is intended for use by businesses and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take steps to delete it.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated to active clients by email or through the Service.
